Press play — energetic intro, then the conversation
AudioJ This is Jennifer from the UpTax Podcast Room, and today I've got John Carter with me. John Carter, so great to have you on. J Thanks for having me on the show, Jennifer. I've been looking forward to this one. J So let's just dive right in. Tell everyone a bit about your practice down in Austin. J Sure. I run a mid-sized CPA firm, we've got about 450 individual clients and another 80 business clients. It's a solid, steady book, but man, it keeps us busy. J That's a lot of returns to manage. What does busy season actually look like for you and your team? J Honestly, it's controlled chaos. We're talking twelve, thirteen hour days, weekends in the office, staff burning out by mid-March. And every year I ask myself, is there a better way to do this? J I think every firm owner has had that exact thought. So what was the real breaking point for you? J It was last tax season. We had two preparers quit right in the middle of the crunch, and I remember thinking, do I hire an accountant right now in the worst possible market, or do I try something completely different? J And building an offshore team was on the table, right? A lot of firms go that route. J Exactly. I actually got pretty far down that road. I talked to a few staffing agencies about tax preparation outsourcing overseas. J What made you hesitate on that? J A few things. First, the training overhead was massive. You're not just handing someone a return, you're teaching them US tax law, your firm's workflow, your software, all of it. Second, compliance risk. I'm the one signing these returns, and I needed to know exactly who's touching my clients' data and how. J That makes total sense. Data security and compliance aren't things you can shortcut in this profession. J Right, and then there's turnaround time. With an offshore team in a different time zone, you're basically adding a full day of back and forth for every single review cycle. During busy season, that's brutal. J So what actually shifted things for you? Because I know you're now a pretty big UpTax fan. J I am, genuinely. A colleague of mine mentioned UpTax, and I was skeptical at first, honestly. AI tax preparation sounded like a buzzword to me. But I decided to run a pilot with a batch of individual returns. J And what happened? J It blew me away. The AI drafted the returns, pulled in the source documents, flagged inconsistencies, and honestly did about eighty percent of the grunt work I used to pay a first-year preparer to do. J And to be clear for listeners, UpTax isn't filing anything on its own, right? It's drafting, and your firm still reviews and files. J Correct, that's the part I love. The AI drafts the return, then there's an offshore review layer that checks it, and then my own staff does the final review before anything goes out the door. I'm still fully in control, I'm still the one signing off. J So it's not replacing your judgment, it's just handling the repetitive heavy lifting. J Exactly. It's like I automated a CPA practice's most tedious part without giving up any oversight. My senior staff went from data entry babysitters to actual reviewers again. J Let's talk numbers, because I know that's what firm owners really want to hear. How did the cost compare to building your own offshore team? J Night and day. Building an offshore team meant recruiting, training, management overhead, plus the ongoing risk of turnover, which in offshore markets is pretty high. With UpTax, I pay a predictable subscription, and the AI tax layer plus review is already built in. No recruiting, no management headache. J So essentially you got the capacity of extra staff without actually having to hire an accountant or hire a bookkeeper to handle the overflow. J That's exactly it. I didn't add a single headcount last season, and we still processed more returns than the year before, with less overtime. J That's the dream scenario honestly, more capacity without more payroll. J It really is. And the turnaround time issue I mentioned with offshore staffing, gone. UpTax's process runs so much faster because the AI drafting happens almost instantly, and the review layer is built to move quickly too. J I love hearing this because this is exactly how UpTax supports CPA firms, giving you leverage without the traditional headaches of scaling a team. J Couldn't agree more. If someone had told me a year ago I'd be recommending an AI tax preparation tool on a podcast, I'd have laughed. But here we are. J Would you say it's genuinely changed how you run your firm day to day? J One hundred percent. It's a real game-changer. Busy season this year was actually manageable. My staff wasn't miserable, my error rate went down, and my clients got their returns back faster. J That's the kind of transformation every firm owner dreams about, honestly. J It is. And for any firm on the fence about whether to build an offshore team or automate your tax practice with something like UpTax, I'd say run the numbers like I did. The math just isn't close. J That's such a powerful way to put it. John Carter, this has been such a great conversation, thank you so much for sharing your experience so openly. J Thanks again for having me, Jennifer. Happy to come back and share more once next season wraps up. J I'd love that.
