AudioJ This is Jennifer from the UpTax Podcast Room, and today I've got Sarah Mitchell with me. Sarah Mitchell, so great to have you on. S Thanks for having me on the show, Jennifer. J So tell everyone a little bit about your firm. You're based in Seattle, right? S That's right, I run a boutique CPA practice here in Seattle. We're small but mighty, I like to say. Right now we're managing around 250 clients, mostly individuals and small businesses, some real estate investors mixed in there too. J 250 clients with, what, a boutique-sized team? That sounds intense during busy season. S Oh, it's brutal. January through April, I basically live at my desk. We're talking sixty, seventy hour weeks, and every year I ask myself the same question, do I hire another accountant, or is there a smarter way to handle the volume. J That's such a common pain point. So walk me through it, what were your actual options before you found UpTax? S Honestly it came down to two paths. Option one, hire an accountant, maybe even hire a bookkeeper too, to help with prep work. Option two, build out an offshore team myself, recruit, train, manage time zones, the whole thing. J And offshore staffing sounds appealing on paper because of the cost savings, but it's a whole operation to run. S Exactly. I actually priced it out. Recruiting overseas, training them on US tax law, quality control, plus the compliance risk of client data sitting with a team I didn't fully control. It was way more overhead than people realize. J Right, and compliance risk is huge in our industry. One mistake with client data and you're dealing with a nightmare. S Totally. And training overhead was the other killer. Every new hire, whether local or offshore, takes months before they're actually productive during a real busy season. J So that's when you found UpTax. S Yes, and honestly, it's been a genuine game-changer for my practice. I'm not exaggerating. J I love hearing that. Walk me through how it actually works day to day. S So UpTax's AI drafts the returns first. It pulls in client documents, organizes everything, and produces a full draft return. Then there's an offshore review layer, real professionals check the draft, flag anything unusual, and by the time it lands on my desk, it's clean and ready for my final review before anything goes out to clients. J So you're still the one making the final call, you're just not starting from a blank page anymore. S Exactly, that's the key difference. I'm not doing data entry, I'm not chasing down basic errors, I'm reviewing and applying my judgment where it actually matters. It's AI tax preparation plus human oversight, and it's a completely different workflow. J That's exactly how UpTax is designed to work, the AI handles the heavy lifting on tax preparation, and the review layer catches what needs a trained eye before it ever reaches you. S And that combination is what sold me. It's not just software spitting out numbers, there's an actual review process behind it, which gave me confidence from day one. J Let's talk numbers, because that's what everyone listening really wants to know. How did the cost compare to building your own offshore team? S Night and day. Building my own offshore team would've meant recruiting fees, ongoing salaries, management time, software licenses for them, training costs stacked on top. With UpTax, I'm paying one predictable cost and getting drafted returns plus review, without any of the HR headache. J So you got the benefit of tax preparation outsourcing without actually having to run an outsourcing operation yourself. S That's a perfect way to put it. I get the capacity boost without the management burden. It's like I automated my tax practice overnight. J And you didn't have to hire an accountant or hire a bookkeeper to get there. S Not one. That's honestly the part that shocked me most. I was so sure I'd need to add headcount this year, and instead my existing team, which is just me and one part time associate, handled way more volume than last year. J What did that do for your turnaround time with clients? S Massive difference. Returns that used to sit in my queue for a week now come back reviewed and ready in a day or two. Clients notice. They're getting faster answers, faster turnaround, and I'm not sacrificing accuracy to get there. J That's the dream scenario, right, more speed and more accuracy at the same time. S It really is. And going into next busy season, for the first time in years, I'm not dreading it. I know the volume is coming and I actually feel prepared instead of panicked. J I think that's what a lot of firm owners don't realize is possible, that you can scale without adding bodies. S Right, and that's really how UpTax supports CPA firms like mine. It's not replacing my judgment, it's giving me leverage so I can serve more clients at the quality level I've always wanted, without burning myself out every spring. J Sarah, if another firm owner was sitting where you were a year ago, trying to decide between offshore staffing and a tool like UpTax, what would you tell them? S I'd say run the real numbers on offshore, including your time, and then compare it to what AI tax preparation with a review layer actually costs. For me it wasn't close. UpTax gave me the capacity of a bigger team without any of the operational weight. J That's such a great way to frame it for anyone listening who's on the fence. S It really was the right call for my practice, and I don't think I'd go back to doing it the old way. J Sarah, thank you so much for being so open about the numbers and the real experience, this was genuinely helpful. S Thanks again for having me, Jennifer, this was fun. J And for everyone listening, if you're weighing hiring an accountant, building an offshore team, or just trying to figure out how to automate a CPA practice without losing control of quality, go check out UpTax.
