Press play — energetic intro, then the conversation
AudioJ This is Jennifer from the UpTax Podcast Room, and today I've got John Carter with me. John Carter, so great to have you on. J Thanks for having me on the show, Jennifer. J So tell everyone a little about your practice. You're based in Austin, right? J Yep, Austin, Texas. I'm an EA, been running my own firm for about eleven years now. We handle right around 450 individual clients and about 80 business returns. J That's a serious book of business. What's your team look like? J That's actually the funny part. It's me, one office manager, and two part-time preparers during the season. That's it. J Wait, that ratio sounds insane. 530 clients with basically three and a half people? J I know, I know. It didn't used to work, honestly. For years I was drowning every February through April. J Talk to me about that pain. What did busy season actually feel like before? J Brutal. Fourteen hour days weren't rare. I was doing data entry at midnight, double checking basis calculations at six a.m. It was not sustainable. J And I'm guessing the obvious fix everyone tells you is just hire more people. J Right, that's the advice. Hire an accountant, hire a bookkeeper, throw bodies at the problem. But in Austin, qualified seasonal help is expensive and honestly hard to find. J So what was your actual decision point? Because I know you looked at building an offshore team first. J I did. I almost pulled the trigger on setting up a small offshore prep team in India. Priced it all out. J What did that math look like? J Between recruiting, management overhead, training on my software, security compliance for client data, plus the actual salaries, I was looking at close to sixty grand a year for two preparers. And that's before I factor in my own time managing them. J That management time is the hidden cost nobody talks about. J Exactly. I don't have bandwidth to train and quality-control an offshore team from scratch. I'm already stretched. J So walk me through how you landed on UpTax instead. J A colleague at a firm in Dallas mentioned it. He said UpTax is AI tax preparation software built specifically for CPA and EA firms, where the AI actually drafts the return and there's an offshore review layer built in already. J So you're not building your own offshore team, you're plugging into one that's already trained and already integrated with the AI drafting. J That's exactly it. That's the piece that sold me. I don't have to recruit, train, or manage anybody. The workflow's already there. J Tell me what the actual day to day looks like now. How does a return move through the system? J Client uploads their docs, UpTax's AI tax engine pulls the data, categorizes it, and drafts the full return. Then it goes through the offshore review layer for a first pass check before it ever lands on my desk. J So by the time you're looking at it... J It's basically ready. I'm doing final review and signing off, not building the return from a blank page. That's the whole game changer for me. J That's a massive shift from midnight data entry. J Night and day. My review time per return dropped by more than half. I'm not exaggerating. J And you mentioned you're handling three times the volume now? J Roughly, yeah. Two seasons ago I was capped around 250 clients total. This year we're at 530 and I genuinely feel less stressed than I did back then. J Without adding a single new hire. J Without adding a single hire. Same office manager, same two part-timers. UpTax gave me the capacity instead of a bigger payroll. J Let's talk numbers for the listeners weighing this decision themselves. Offshore build versus UpTax. J The offshore route was going to run me near sixty thousand a year, plus my time. UpTax costs a fraction of that, and it scales with my volume instead of me committing to fixed salaries. J So for firms thinking about tax preparation outsourcing, this basically bundles the AI drafting and the offshore review into one predictable cost. J Exactly, and that predictability matters. I know my cost per return now. Budgeting season is so much easier. J I love that. This is honestly how we support CPA firms at UpTax, giving you leverage without the overhead of building a team from zero. J That's the pitch that actually held up in practice for me. A lot of software promises to automate a CPA practice. This is the first one that actually delivered on it. J If another EA or CPA out there is stuck in that same fourteen hour day grind, what would you tell them? J Stop thinking you need to hire your way out of it. Look at what AI tax preparation combined with real review support can do first. It changed my whole season. J John Carter, this has been such a great conversation. Thank you so much for sharing your workflow and the real numbers behind it. J Thanks again for having me, Jennifer. Happy to come back once next season's numbers are in. J We'll hold you to that. And to everyone listening, if you want to automate your tax practice the way John Carter did, go check out UpTax and book a demo at uptax.ai. We'll see you on the next episode.
