Press play — energetic intro, then the conversation
AudioJ This is Jennifer from the UpTax Podcast Room, and today I've got Sarah Mitchell with me. Sarah Mitchell, so great to have you on. S Thanks for having me on the show, Jennifer. I've been looking forward to this one. J So let's start with the basics. Tell everyone about your practice out in Seattle. S Sure, so I run a boutique CPA firm, pretty tight-knit team, and we manage around 250 clients. Mix of small businesses, some high-net-worth individuals, a handful of real estate investors who love complicating my life every March. J Two-fifty clients with a boutique team, that's no joke. I imagine busy season is basically a controlled sprint for months straight. S Controlled is generous. It's more like a controlled scramble. You're staring down thousands of returns, staff are burning out, and you're constantly asking yourself if you have enough hands on deck. J And that's the classic fork in the road, right? Do you hire an accountant, hire a bookkeeper, build out more internal staff, or do you go the outsourcing route? S Exactly. And I've lived both sides of that decision, actually. Before I became a CPA and opened my own shop, I was a CFO, and I managed offshore teams for years. J Oh interesting, so you came into this with real offshore management experience already. S Right, and that's what makes this conversation fun for me, because I'm not coming at tax preparation outsourcing as a skeptic who's never tried it. I've done it. I know the time zone calls, the training curve, the quality control headaches. J So when you started your own firm, did you just default back to building another offshore team? S That was actually my first instinct, honestly. I thought, I know how to do this, I'll just replicate what worked before. But then I really sat down and ran the numbers. J And what did the numbers tell you? S Building an offshore team from scratch is expensive when you factor in recruiting, training, management overhead, turnover. You're basically running a second HR department just to support your tax preparation. J That's the hidden cost nobody talks about. It's never just salary. S Never. So I started looking at what was out there for AI tax preparation, and that's when I found UpTax. J I love this because UpTax is exactly built for that gap, firms who want to automate their tax practice without taking on a whole management headache. S That's the honest truth. What sold me was the model. The AI actually drafts the returns, pulls in the data, does the heavy lifting on the technical prep. Then there's an offshore review layer that checks everything before it lands on my desk. J So you're still the one making the final call and signing off, but the grunt work is already done. S Exactly, my team reviews and files, we always have final eyes on every return. But the drafting, the number crunching, the first pass, that's all handled. It completely changed how our busy season feels. J Can you give me a sense of what that freed up for you, in real terms? S Honestly, it gave me capacity I would have had to hire for. I didn't have to hire an accountant, I didn't have to hire a bookkeeper just to keep up with volume. That capacity just showed up through the platform. J That's the dream scenario for a boutique firm, growing without growing your payroll. S It really is. And when I compared it against what I would've spent building out an offshore team the way I used to as a CFO, it wasn't even close. UpTax was dramatically more cost-effective. J So walk me through that comparison a little more, because I know listeners are sitting there thinking about their own budgets right now. S Sure. Offshore teams need recruiting costs, ongoing salaries, management time, quality control systems you build yourself. With UpTax, that infrastructure already exists. You're not reinventing anything, you're just plugging into a system that already automates a CPA practice's most repetitive work. J That's really how UpTax supports CPA firms at the core, we built the automation and the review layer so firms don't have to build their own offshore operation from zero. S And that's the part I wish I'd known years ago. I spent so much energy managing offshore staff when a tool could've absorbed that workload. J Would you say it's changed how you think about busy season overall? S Completely. My team isn't drowning in March anymore. We actually have bandwidth to talk to clients, do planning conversations, the higher value stuff instead of just cranking through returns. J That's such a good point, it's not just about speed, it's about what your team gets their time back for. S Right, and honestly, after living through both worlds, the traditional offshore build and now UpTax, I would never go back to the hiring treadmill. It's just not worth the overhead anymore. J I hear that from so many firm owners now, this idea of using AI tax preparation as the backbone instead of constantly hiring. S It's a mindset shift for sure. But once you see how much smoother the workflow is, there's really no argument for going back. J Sarah Mitchell, this has been such a great conversation. I appreciate you being so candid about the real cost comparisons, not just the shiny pitch. S Thanks for having me, Jennifer. It's been fun geeking out about tax automation with you. J Alright, everyone listening, if you're weighing tax preparation outsourcing against building your own offshore team, do yourself a favor and check out UpTax. Head over to uptax.ai and book a demo, see for yourself how it can automate your tax practice without the hiring treadmill Sarah just described. S Seriously, just book the demo. You'll wonder why you didn't do it sooner. J That's a wrap for this episode of the UpTax Podcast Room. Thanks again Sarah, and we'll catch everyone next time.
