AI Tax Preparation for Form 1040 Returns

UpTax reads the documents, reconciles the numbers and hands your preparer a source-linked draft to review and file.

to a review-ready draft

Form 1040 is the workhorse of every US tax practice, and it is also where a busy-season week quietly gets eaten alive. A single return can arrive as a W-2, three or four 1099s, a mortgage 1098, a forty-page brokerage statement, and a K-1 that shows up in September. Before a preparer applies any judgment at all, someone has to read every page, key every figure onto the right line, and tie the numbers back to last year. Across a few hundred clients, the bottleneck was never the tax law. It was the typing.

UpTax is AI tax preparation software built to take that grind off your team. It reads the source documents your clients send, classifies each page, extracts the figures, reconciles them against each other and the prior-year return, and assembles a complete, source-linked draft 1040 — Schedules 1 through 3, itemized or standard, Schedule C for sole proprietors, capital gains, rentals, pass-through K-1 income and the credits that go with them. What lands in front of your preparer is a draft to review, not paper to re-key.

The line UpTax never crosses is the one that matters most to your license. UpTax prepares; your firm reviews and files. Every number on the draft links back to the exact document and page it came from, so a reviewer can verify anything in a single click, override what needs overriding, and sign off with the same confidence they would have had after preparing it by hand — just hours sooner. Your judgment still owns the return.

The manual grind on a 1040

The parts that eat your team's hours — and exactly what UpTax takes off their plate.

  • Manually keying dozens of W-2s, 1099-NEC/INT/DIV and multi-page brokerage 1099-Bs for a single household return
  • Chasing late or missing documents, then reconciling figures that don't tie to the prior-year return or to each other
  • Wash sales, cost-basis gaps and crypto transactions that force line-by-line reconstruction on Schedule D and Form 8949
  • Turnaround that slips in peak weeks because the intake queue grows faster than the team can clear it
  • Senior staff pulled into data entry and review of routine returns instead of advisory, planning and the genuinely complex files

How UpTax supports your firm

AI does the preparation; your CPAs keep the review and the sign-off.

Every document read automatically

W-2s, 1099s, 1098s, K-1s, brokerage statements and a client's unsorted zip — parsed page by page, with no manual keying.

Reconciled and tied out

Figures cross-checked against each other and last year's return, with anything that doesn't reconcile flagged for your reviewer rather than buried.

Multi-state and residency logic

The federal 1040 paired with the right state returns, part-year and nonresident allocations applied across all 50 states.

Schedules and credits computed

Schedules 1–3, A through E, SE self-employment tax, the Child Tax Credit and EIC drafted from the underlying documents.

A source-linked draft to review

A complete draft 1040 where every figure links back to the page it came from, so verification is one click, not a paper hunt.

Forms & schedules we cover

Everything that comes with a 1040 — drafted, reconciled and source-linked for your review.

Schedule 1

Additional income and adjustments — business income, capital gains carryover, HSA, student-loan interest and self-employment tax deductions pulled to the right lines.

Schedule 2

Additional taxes including AMT, excess advance premium tax credit repayment and self-employment tax carried from Schedule SE.

Schedule 3

Nonrefundable and refundable credits — foreign tax credit, education, dependent-care and energy credits mapped from the supporting forms.

Schedule A

Itemized deductions built from 1098 mortgage interest, property and state taxes, medical costs and charitable receipts, then compared against the standard deduction.

Schedule B

Interest and ordinary dividends aggregated from every 1099-INT and 1099-DIV, with the foreign-account questions surfaced for review.

Schedule C

Sole-proprietor profit and loss drafted from bank data, 1099-NEC/K income and expense records, with home-office and vehicle inputs organized.

Schedule D + Form 8949

Capital gains from brokerage 1099-Bs and crypto exports, with short- vs long-term lots, wash sales and missing-basis items reconciled and flagged.

Schedule E

Rental real estate income and expenses plus pass-through income from partnership and S-corp Schedule K-1s, allocated to the right activities.

Schedule SE

Self-employment tax computed from Schedule C and K-1 earnings, feeding the deduction on Schedule 1 automatically.

Schedule 8812

Child Tax Credit and credit for other dependents calculated from dependent details and income phase-outs.

EIC / Schedule EIC

Earned Income Credit eligibility and qualifying-child data assembled for the return, with income limits and investment-income tests applied.

Form 2555 / Form 1116

Foreign earned income exclusion and foreign tax credit prepared for clients with overseas wages, accounts or taxes paid.

Source documents

W-2, 1099-NEC/MISC/INT/DIV/B/R/K, 1098 mortgage and tuition statements, and partnership/S-corp/trust K-1s — read directly, no templates required.

How it works

From raw documents to a filed 1040

The same five steps your team runs every day — minus the manual entry.

Step 1

Upload documents

Drop in any files or a full unsorted zip — no sorting or renaming needed.

Step 2

AI classifies

Every page is identified by type — W-2, 1099-NEC, 1099-DIV, 1098, K-1 — and matched to the prior-year return.

Step 3

Extract & reconcile

Figures are mapped to the right lines, tied out against last year, and any discrepancy is flagged with its source.

Step 4

Draft 1040 assembled

Income, adjustments, deductions, credits and every required schedule are pulled into a single source-linked draft.

Step 5

Your CPA reviews & files

Your team verifies flagged items, adjusts anything needing judgment, and files under your firm's credentials.

What Form 1040 actually covers

The 1040 looks deceptively short — two pages — but the two pages are only the cover sheet for a return that can pull in a dozen schedules and forms. Wages and withholding come off the W-2. Interest and dividends flow through Schedule B. A client who freelances or runs a single-member LLC brings a Schedule C, which in turn drives Schedule SE for self-employment tax. Sell stock, a house or crypto and you are into Schedule D and Form 8949. Own a rental or receive a K-1 from a partnership or S corporation and Schedule E appears. Layer on itemized deductions, the Child Tax Credit, the Earned Income Credit, education credits, HSA activity and foreign income, and a "simple" individual return becomes a stack of interlocking calculations where one changed number moves several others.

That interconnection is exactly what makes 1040s time-consuming to prepare and easy to get subtly wrong. Self-employment tax on Schedule SE feeds an adjustment on Schedule 1, which changes adjusted gross income, which changes the phase-outs on credits, which changes the bottom line. A missing cost basis on one brokerage lot can swing the capital gain by thousands. None of this is hard for an experienced preparer — but doing it by hand, for hundreds of clients, is slow, and the slow part is almost entirely mechanical.

UpTax is designed around that reality. It treats the 1040 as the assembly of its parts rather than a single form: read the documents, determine which schedules the facts require, compute each one, and reconcile the whole so the pieces agree before a human ever looks at it. The goal is not to replace the preparer's judgment about elections or grey-area items, but to deliver a complete, internally consistent draft so that judgment is the first thing your team spends time on, not the last.

The documents UpTax reads for you

Clients do not send clean data. They send a photo of a W-2 taken on a kitchen table, a 40-page consolidated 1099 from a brokerage, a mortgage 1098, a stack of charitable receipts, a crypto exchange CSV, and a K-1 that arrives weeks after everything else — often all zipped into one file with no naming convention. The first job UpTax does is make sense of that pile. It classifies each page by document type, so a W-2 is recognized as a W-2, a 1099-NEC is separated from a 1099-DIV, and a partnership K-1 is told apart from an S-corp K-1, without anyone sorting the upload by hand.

From there it extracts the figures that matter and maps them to the right lines. Wages and withholding from every W-2. Interest, dividends, qualified dividends and capital-gain distributions from each 1099-INT and 1099-DIV, aggregated onto Schedule B. Nonemployee compensation from 1099-NEC and gross receipts from 1099-K, routed to Schedule C. Mortgage interest and property tax from the 1098 for Schedule A. Proceeds, cost basis, and acquisition and sale dates from brokerage 1099-B detail — the part that historically eats the most keying time — pulled line by line into Form 8949 and Schedule D.

The harder source documents are where the automation earns its keep. K-1s vary wildly in layout between preparers, yet the boxes that flow to Schedule E and the associated codes are consistent, so UpTax reads them regardless of the cosmetic format. Crypto is read from exchange exports and reconciled into short- and long-term lots the same way brokerage activity is. Prior-year returns are read too, which lets UpTax surface a wage that dropped to zero, a dependent who disappeared, or an interest figure that is an order of magnitude off — the kind of discrepancy that signals a missing document rather than a real change.

How UpTax prepares a 1040, step by step

The workflow is deliberately close to how a good preparer already works, just without the manual entry. A client's documents come in — through a portal upload, an email forward, or a bulk drop of many clients at once — and UpTax classifies every page, extracts the data, and stages it against the client's profile and prior-year return. The extracted values sit next to the source image, so the origin of every number is visible from the start.

Next comes the part that determines the shape of the return. Based on the documents present, UpTax decides which schedules the facts require — a 1099-NEC means Schedule C and SE, a K-1 means Schedule E, brokerage sales mean Schedule D and Form 8949 — and computes each one. It aggregates interest and dividends onto Schedule B, tests itemized deductions against the standard deduction and carries the larger, applies the Child Tax Credit and Earned Income Credit where the facts qualify, and rolls self-employment tax back through the Schedule 1 adjustment. Multi-state situations are handled here too: the federal return is paired with the correct resident, part-year and nonresident state returns, with income allocated by the residency facts.

The final step is assembly and reconciliation. UpTax pulls every computed schedule into a single draft 1040 and checks that the interlocking figures agree — that AGI is consistent everywhere it appears, that credits reflect the right phase-outs, that withholding totals match the source forms. What reaches your preparer is a complete draft with every figure source-linked, every assumption visible, and every unreconciled item flagged. From there the human steps in: your preparer reviews, adjusts anything that calls for judgment, and your firm files. UpTax prepared the return; your firm owns it.

Accuracy, source-linking and your review

Speed is only useful if a reviewer can trust what they are reviewing, so UpTax is built to make verification faster rather than to ask for blind faith. Every figure on the draft is source-linked: click the number and you see the exact document and page it was read from, with the relevant box highlighted. A reviewer questioning a dividend total does not go hunting through a 40-page statement — they land on the line that produced it. That single design choice is what turns a draft into something you can genuinely review rather than re-do.

Reconciliation is treated as a first-class output, not a side effect. UpTax cross-checks figures against each other and against the prior year, and anything that does not tie out is surfaced explicitly instead of quietly absorbed. A brokerage lot with no reported basis, a wash sale that needs adjustment, a K-1 that has not arrived yet — these become flags on the review screen, each with the underlying evidence attached. Your reviewer spends their attention where the return is uncertain, not re-verifying the ninety percent that already reconciled cleanly.

The review step is not optional and it is not cosmetic. UpTax does not file returns and does not present itself as the final word; it produces a draft that your CPA or EA is expected to review, correct where needed, and approve. Judgment calls — an aggressive-versus-conservative position, an election, a grey-area deduction — stay with your team. The result is the speed of automation on the mechanical work and full professional control over everything that carries your signature.

Turnaround, capacity and busy season

The economics of a tax practice in season come down to throughput per preparer, and the ceiling has always been how fast documents can be turned into a reviewable return. When a preparer keys a multi-form household return by hand, an hour or more disappears before any review begins. When that same return comes back as a source-linked draft in minutes, the preparer's hour goes to review and judgment instead — and the practice's effective capacity rises without adding headcount you cannot find in February anyway.

That shift changes what busy season feels like. Intake stops being a bottleneck because documents are classified and drafted as they arrive rather than piling up behind manual entry, and bulk uploads let a firm push many clients through at once, so the queue clears at the speed of review rather than the speed of typing. Extensions become a deliberate choice for genuinely complex files, not a fallback forced by a backlog of routine returns nobody had time to key.

It also changes who does what on your team. Junior staff move from data entry toward reviewing drafts and learning how the pieces of a return fit together, which is how they become preparers. Seniors and partners spend their scarcest hours on advisory and the complex engagements that command real fees rather than on routine volume. The capacity gain is real, but the quieter benefit is a busy season your team can actually sustain year after year.

Security and how your client data is handled

Individual returns are among the most sensitive data a firm holds — Social Security numbers, full income pictures, dependents, bank and brokerage detail — and that sensitivity shapes how UpTax handles the documents it reads. Client data is encrypted in transit and at rest, access is scoped to your firm, and documents are processed to prepare the return you asked for rather than repurposed for anything else. The security posture is designed to fit inside the obligations your firm already carries under the FTC Safeguards Rule and your written information security plan.

Because UpTax is preparation software rather than a filing service, it stays on your side of the line with the taxing authorities. UpTax does not transmit returns to the IRS or state agencies; it produces the draft, and your firm — using your own credentials, your PTIN and your e-file authorization — is the party that reviews and files. That separation keeps the professional responsibility, and the relationship with the tax authorities, exactly where it belongs: with your firm.

Practically, that means adopting UpTax does not require re-papering how you handle client consent, engagement or filing. Your existing engagement letters, review procedures and filing workflow stay intact; UpTax slots in at the point where documents become a draft return, leaving the professional and regulatory structure around it unchanged. You get faster preparation without handing off control.

Form 1040 preparation — FAQs

Can UpTax prepare a complete Form 1040, not just parts of it?

Yes. UpTax drafts the full 1040 — Schedules 1 through 3, A through E, SE, the Child Tax Credit and EIC, and the supporting forms the client's documents require. It reads the source documents, computes each schedule, and assembles a reconciled draft. Your CPA or EA then reviews that draft and files it. UpTax prepares; your firm signs off.

Which source documents can it read?

W-2s, 1099-NEC, MISC, INT, DIV, B, R and K, 1098 mortgage and tuition statements, and partnership, S-corp and trust K-1s — as individual files or a single unsorted zip. It also reads brokerage statements, crypto exports and prior-year returns. Each page is classified and every figure mapped to the correct line automatically.

How does it handle capital gains, wash sales and crypto?

Brokerage 1099-B detail and crypto exports are read line by line into Form 8949 and Schedule D, separated into short- and long-term lots. Wash sales and lots with missing cost basis are reconciled where possible and flagged for your reviewer where judgment is needed, with the underlying transaction attached to each flag.

Does it prepare state returns and multi-state situations?

Yes. The federal 1040 is paired with the matching state returns, and part-year and nonresident allocations are applied across all 50 states based on the client's residency facts. Income is allocated to the right states so your reviewer sees a coherent federal-and-state package rather than a federal return alone.

How accurate is the draft, and how do we verify it?

Every figure on the draft is source-linked to the exact document and page it came from, so a reviewer can confirm any number in one click. Figures are also reconciled against each other and the prior-year return, with anything that doesn't tie out surfaced as an explicit flag. The AI produces the draft; your review is what makes the return final.

Do we still review and file every return ourselves?

Always. UpTax is preparation software — it drafts returns and does not file them. Nothing is transmitted to the IRS or any state; your firm reviews the draft, adjusts anything that calls for professional judgment, and files using your own PTIN and e-file authorization. The professional responsibility stays entirely with your firm.

How is our clients' data protected?

Client data is encrypted in transit and at rest, access is scoped to your firm, and documents are used only to prepare the returns you request. The approach is built to fit within the FTC Safeguards Rule and the written information security plan your firm already maintains, so adopting UpTax does not change your compliance obligations.
